Job Overview
In the context of container shipping operations spanning the globe, your role is to support the organization responsible for the cross-functional management and improvement of global business processes (workflows and regulations).
This position is responsible for the centralized management of all "actionable tasks," including:
●Business improvement requests and system enhancement requirements from global offices.
●Implementation tasks for process changes.
●Improvements and corrective actions arising from daily operations.
●You will build and operate a framework to ensure end-to-end control—from the initial intake of a request to its final completion—without any omissions.
Your mission goes beyond simple administration; you are expected to:
●Create an environment where deadlines are consistently met.
●Ensure a balanced distribution of workload among personnel.
●Establish a state where global offices can reliably adhere to new rules.
Key Responsibilities:
1. Intake, Organization, and Execution Management of Improvement Requests
Daily requests arrive from global offices and headquarters departments, including:
●Requests for business process improvements.
●Requests for the formulation of new business rules.
●System change requirements.
●Troubleshooting and incident response.
You will design and operate a system to manage these consistently by:
●Registering them as formal requests.
●Prioritizing tasks.
●Assigning personnel.
●Setting deadlines.
●Verifying completion.
2.Control of Omission Prevention and Deadline Compliance
Build an operational state that "guarantees completion" rather than just maintaining a tracking sheet. This includes:
●Constructing mechanisms to prevent requests from being overlooked or "buried."
●Monitoring to prevent deadline breaches.
●Visualizing stagnant projects.
●Reporting to management (escalation) when necessary.
3.Visualization and Optimization of Workload
Prevent scenarios where "one person is always overwhelmed" or "tasks are bottlenecked by a single individual" by:
●Visualizing the workload per team member.
●Analyzing workload imbalances.
●Identifying bottlenecks.
●Readjusting priorities.
4.Management of Global Rollouts for New Rules
When business processes are modified, you will manage the global implementation by:
●Disseminating information to global offices.
●Confirming understanding of the changes.
●Monitoring the status of implementation.
●Obtaining final sign-off (approval).
●Analyzing the root causes of non-compliance.
