Job Summary
At ONE DEJIMA, we are strengthening the foundation of our people and organization as the business grows.
This position is part of the People Operations & Rewards Team and is responsible for managing HR operations such as onboarding/offboarding, transfers, attendance, labor management, HR policy administration, and performance & rewards processes. You will ensure employees can work with confidence through a reliable and well-structured HR foundation.
Beyond executing existing processes accurately, you will also identify gaps in incomplete systems, collaborate with stakeholders, and improve operations for better efficiency and effectiveness. In a growing organization, you will have the opportunity to contribute both to operational stability and to the evolution of policies and systems.
Key Responsibilities
1.People Operations
●Manage HR processes related to hiring, offboarding, transfers, secondments, etc.
●Oversee attendance, leave, and working hours management.
●Coordinate payroll, social insurance, and employee benefits with internal and external stakeholders.
●Maintain HR documents such as employment contracts, appointment letters, and certificates.
●Update and maintain HR data and employee master records.
●Support updates to company policies, employment regulations, and HR guidelines.
●Respond to employee and manager inquiries on HR and labor matters.
●Identify labor risks and propose necessary improvements.
2.Performance & Rewards
●Support the operation of performance evaluation processes.
●Manage evaluation schedules and assist in evaluation meetings.
●Support salary increases, bonuses, and promotion processes.
●Prepare documentation related to grading, evaluations, and reward systems.
●Collect and analyze personnel and evaluation data.
●Ensure consistency and fairness in policy implementation.
3.Process Improvement & HR Foundation
●Visualize, standardize, and improve HR operation workflows.
●Develop HR templates, FAQs, and manuals.
●Improve HR system operations, spreadsheets, and related tools.
●Strengthen and enhance the HR foundation in line with organizational growth.

| 勤務時間 | Working Hours Hours: 9:00 – 18:00 (Standard). Flextime: 7:00 – 22:00. Includes occasional night meetings (JST) due to global operations. Strategic use of flextime is required to prevent long hours. |

| Required Experience and Skills | Required Qualifications ●Practical experience in HR, labor, payroll, administration, or other back-office functions. ●High accuracy and attention to detail in administrative and operational tasks. ●Ability to coordinate with multiple stakeholders to move tasks forward. ●Ability to handle tasks independently in a dynamic environment. ●Basic proficiency with Microsoft Excel / Google Sheets / PowerPoint / Word. Preferred Qualifications ●Experience in labor management, attendance, payroll, or social insurance operations. ●Experience operating performance, reward, or HR policy systems. ●Experience maintaining employment regulations or internal HR policies. ●Experience in HR data management, reporting, or process improvement. ●Experience implementing or managing HR systems or SaaS tools. ●Experience communicating in English via email or in simple discussions. ●Experience in establishing back-office operations in a growing company or new organization. |
