GLOBIS University is seeking a highly motivated and detail-oriented professional to join the English MBA Program team as a Student Support and Class Operations Specialist. This position plays a vital role in delivering smooth, high-quality in-person and online classes while ensuring a rewarding learning experience for students and faculty. With an increasing number of applicants from all over the world applying to our Full-time, Part-time & Online MBA programs, our Operations Team (one of the functions of the Student Services Office) is looking to hire new team members who will support program operations and students toward their educational aspirations while fostering the continued growth and success of our MBA offerings.

This year, we are accelerating our global expansion by launching additional hub campuses worldwide, complementing our existing locations in the US, Singapore, Belgium, the Philippines, and Thailand. 業務詳細/Job Responsibilities

Main Responsibilities

Operations and Execution
In the initial phase, the staff member will primarily focus on supporting ongoing operations, taking the lead in initial responses to students, lecturers, and other stakeholders, handling urgent or time-sensitive operational cases, and coordinating tasks across teams to ensure smooth daily execution.

  • Manage logistics for class delivery, including classroom coordination, system and equipment set up, material preparation, and day-to-day operations to ensure a smooth academic process
  • Support lecturers with the classroom setup and other tasks to run the class
  • Provide prompt and accurate responses to students and lecturers, both in and outside class hours
  • Supervise and train part-time staff supporting the class operations
  • Support academic events, such as academic orientations, entrance/graduation ceremonies, when needed

Cross-Functional Collaboration

  • Use feedback and insights to drive improvements in student services and class operations
  • Collaborate with internal departments, such as the Admissions Team, Career Office, Japanese MBA Office, etc., to create a seamless and engaging student journey
  • Contribute to planning initiatives that improve operational efficiency and enhance student satisfaction
  • Support our foreign hubs by providing prompt guidance and operational assistance in their day-to-day operations

Communication

  • Deliver clear guidance during orientations and other touchpoints through the student MBA journey
  • Build professional and empathetic relationships with students, lecturers, and other stakeholders to foster trust and engagement

Communication and Logical Thinking Skills

  • A friendly, empathetic mindset is needed to build close professional relationships with students, lecturers, and co-workers.
  • Ability to absorb knowledge quickly along with exceptional logical thinking skills to analyze the inquiries and provide accurate support
  • Exceptional eye for detail and accuracy in all areas of communication and output
  • Native or equivalent English proficiency is essential (TOEIC 900 or higher). For Japanese, candidates should have JLPT N3 level proficiency or higher, enabling them to understand and participate in conversations, read and respond to written communications (with translation tool assistance if needed).

Technical Proficiency and Adaptability

-The employee in this position will be seconded to the Graduate School of Management, GLOBIS University. 

The GLOBIS Student Services Office is part of the global division at the Graduate School of Management, GLOBIS University. This team comprises approximately seven members and oversees admissions, enrollment, class management, and academic operations. 

The Student Services Office is a key link between all division teams in the global department (with over 30 members), ensuring smooth coordination and support across various functions.
Career Trajectory
As a key member of the Operations Team, you'll be the primary contact for students and lecturers. Initially, your role focuses on supporting ongoing operations: leading responses to stakeholders, handling urgent cases, and coordinating tasks across teams for smooth daily execution.
With experience, you'll enhance the learning experience by facilitating effective communication and maintaining a productive environment to maximize student learning. You'll also plan and implement initiatives helping students become positive community and societal contributors, offering advisory support ideal for those passionate about personal development.
Once core responsibilities are mastered, you'll explore cross-functional projects driving business growth. This role offers an excellent career path for strengthening strategic thinking, project management, and communication in a multicultural setting.
Typical Workday
GLOBIS employees benefit from flexible working hours and remote work options. Under normal circumstances, employees are asked to commute to the office three times a week. Typical working hours are from 10:00 to 18:30, with a 1-hour lunch break.

Weekend and evening work may be required for class operations and events, so team members manage their schedules using flex time and substitute holidays, coordinating with the team to cover when necessary.

Our team focuses on results rather than the amount of time worked. Employees are encouraged to work in a way that makes them feel comfortable and productive, ultimately maximizing the team’s output.

Remote Work
